Roles

Roles

Each person's role shows as a badge beside their name in member lists. Admins manage members in Workspace settings → Members & Directory and teams on the Teams page.

Org members tab with the Role menu open on a member, offering Global Admin, Admin, Member and Guest

Organization roles

Harmony uses four organization roles, each including what the one below it can do:

Role What it is for
Global Admin Owns the organization: workspaces, roles, billing, governance and the master wiki. Only Global Admins open Billing, Organization settings and the organization Overview.
Admin Runs workspaces: settings, audit and history, the Lifecycle Graph and invitations. Admins also open Spend, Models and Developers, see every team in Outcomes, create goals, set budgets on the Scale plan, and approve Marketplace installs.
Member Full operator below the workspace line: Commons, workstreams, connectors, Loops and the wiki they are granted. Members see their own teams in Outcomes.
Guest Limited access to the conversations and workstreams they are invited to. A Guest does not use a billed seat and can't open Outcomes.

Your organization role is separate from your role in a workstream. A workstream has an owner and can have approvers, who answer its reviews; see Workstream settings and Approvals.

Company Wiki access

Joining the organization doesn't open every part of the Company Wiki. Access to sensitive material, such as HR policies or pay, is granted explicitly. See Who can change what.

Where roles appear in the product

Surface What you see
Member lists A role badge beside each name
Workspace settings → Members & Directory Roster, invites and role assignment
Workstream settings The workstream's owner and approvers
Teams Team profiles and Members tables

Example scenario

A 12-person finance department invites ten Members and two Admins. Analysts ask Harmony Agent in their workstreams, run Loops, and approve the reviews they are assigned to. The controller is an Admin who manages connectors, team budgets and wiki grants for the finance policy vault. The CFO is the Global Admin and owns the plan and invoices. External auditors join as Guests — they read the workstreams they are invited to but cannot change settings or browse restricted wiki folders.

FAQs

What can a Guest see? Only the conversations and workstreams they are invited to. Guests never use a billed seat.

Can a Member manage billing? No. Billing is for Global Admins, and Spend is for Admins. Every member sees their own usage in Profile → Usage.

Who grants Company Wiki access? Admins. See Who can change what.

Can Guests submit support requests? Yes. See Contact support.

How do I change someone's organization role? A Global Admin changes it in the Role column on Teams → Org members. Global Admins can change each other's roles as long as at least one other active Global Admin remains.

Do invited users count toward plan seats? Members count once they are active. Paid plans bill people active in the last 30 days; Guests don't use a seat. See Plans and seats.
