Inviting teammates

Inviting teammates

Business Summary: Inviting teammates brings the right people into your workspace with roles that match how they will run agents, approve checkpoints, and collaborate on workstreams — the first step before assigning workstream teams.

Growing adoption starts with the right people in your organization — with roles that match how they will use agents, approve checkpoints, and manage connectors.

Invite management lives under Governance (not the Settings tabs) because org access and roles are governed centrally.

How to invite a teammate

  1. Open Governance in the sidebar — or Settings → Members & Directory when your workspace shows that tab.
  2. Click Invite members (or Invite member on the members page).
  3. Enter one or more email addresses.
  4. Select an organization role — Admin, Member, or Viewer.
  5. Click Send invite (or equivalent).

What you'll see: A confirmation that invites were sent; pending invites may appear in the members list until accepted.

During onboarding

If you are still in setup, the onboarding wizard includes a team invite step with the same email-and-role form — use it to add your first approvers before your first governed run.

What happens next

  1. Invitation email — the invitee receives an email with subject such as You are invited to Nimbus and a secure link.
  2. Accept invite — they open the link, sign in or create an account, and land on Accept invite.
  3. Active member — after acceptance, they appear in the org roster and count toward your plan seats.
  4. Workstream access — org membership alone does not grant every workstream. The owner or admin must add them to the relevant workstream team.

Invites expire after seven days. Ask your workspace super admin to resend if the link expired.

When to invite

Invite teammates during Onboarding (setup wizard team invite step), administrator provisioning as your team grows, or workstream setup when scoping a goal prompts owners to add contributors (team assignment follows separately).

Each invite specifies an email and an organization role — Admin, Member, or Viewer. Use Viewer for read-only stakeholders who should see shared outputs but not run agents or change settings.

After acceptance

Accepting an invite grants organization access — not automatic access to every workstream.

Next steps for the workstream owner or admin:

  1. Add the new member to the relevant workstream team (owner, contributor, approver, or viewer).
  2. If they need wiki content in agent scope, grant Company Wiki vault access — org role alone does not expose every vault. See Company Wiki access control.
  3. Confirm they can open the workstream on the hub at Workstreams in the sidebar.
  4. Walk them through Key concepts if they are new to agents.

Seat limits and plans

Your subscription plan includes a seat cap — the number of active users bundled with the tier. Pro includes 1 seat; Team includes 10; Business includes 25. Adding users beyond your cap may require a plan upgrade or additional seats.

See Plans, seats, and included usage and Choosing the right plan.

Example scenario

A Team plan workspace with eight active members invites two analysts during onboarding. Both accept within a week and become member org roles. The RevOps lead adds them as contributors on a pipeline hygiene workstream and as approvers on a separate forecasting workstream. Neither can see a restricted finance close workstream until the CFO adds them to that workstream team.

What you'll see

What you'll see: During onboarding, a form to enter colleague emails with role chips. Invitees receive email with subject "You are invited to Nimbus." After acceptance, their profile appears when they sign in under Settings → Profile.

FAQs {#faqs}

Q: Can I invite someone as a guest? A: Use Viewer for read-only access. Viewers cannot run agents, approve checkpoints, or change settings.

Q: Do I grant wiki access during invite? A: Org invite grants workspace membership only. Admins assign wiki vault scope separately — see Company Wiki access control.

Q: What if the invite email domain doesn't match our company domain? A: Nimbus may warn admins about domain mismatches. Review before sending to avoid accidental external access.

Q: The invite link expired — what now? A: Ask an admin to send a new invite. Links expire after seven days.

Q: Does inviting someone give them connector credentials? A: No. Connector auth is separate. They still need intelligence and action connectors configured per org policy.

Q: We hit our seat limit — can we still invite? A: You may need to upgrade your plan or remove inactive users first. See Plans, seats, and included usage.

Q: Can invited users approve checkpoints before accepting? A: No. They must accept the invite and become active before they can sign off or confirm Plan runs.
